Frequently asked questions

Booking, payment, catering, insurance and the rest.

Pick a space and send a request with your date and details — there’s no payment up front. We confirm availability and send a proposed rental agreement; you review and e-sign it; then you pay the deposit and you’re booked.

A deposit of 50% of the rental fee is due at booking to hold your date. The remaining balance is due one week before your event. Invoices are sent by email through QuickBooks — no payment is taken on this site.

Yes. WCPC members save on every space — member savings range from $55 to $100/hr depending on the room. Note your membership when you send a request and we’ll apply it to your agreement.

All rooms have a 2-hour minimum, except the Gym (Sports) at 3 hours. Setup and teardown time counts toward your booking, so build that into your window.

Our events team follows up within two business days to confirm availability and send your proposed agreement.

Use of the room, tables and chairs, climate control, restrooms, custodial service, and complimentary self-parking in designated areas. An on-site coordinator helps your day run smoothly.

Yes — you’re welcome to use your own licensed caterer. A caterer-friendly warming kitchen is available; a $150 cleaning fee applies when the kitchen is used. Tell us your plans in your request and we’ll talk through logistics.

Sound, lighting, and furnishings are used only with prior approval and may require a staff operator and a labor fee. Equipment is moved only under staff supervision — let us know your needs in advance.

Décor must be approved in advance. Nothing may be taped, tacked, or nailed to walls, woodwork, or furnishings, and freestanding candles or open flames aren’t permitted. Please remove all décor at the end of your event.

Yes — complimentary self-parking in a large campus lot, with accessible spaces near every entrance. The campus is a short walk from downtown Walnut Creek and BART.

Renters provide a certificate of liability insurance of at least $1,000,000, naming WCPC and its officers, employees, and volunteers as additional insured. It’s due 30 days before your event — we can suggest a provider if you need one.

Beer, wine, and sparkling wine (20% ABV or less) may be served with advance written approval — no hard liquor, kegs, or open bars. A licensed caterer or nonprofit must hold the ABC permit, carry a $2,000,000 insurance rider, provide trained security (one per 150 guests), and serve drinks rather than offer self-service. Smoking is not permitted on church property.
