Rental policies

The main terms

Taken from the Facility Use Agreement.

Deposit & payment

A deposit of 50% of the rental fee is due at booking to hold your date. The remaining balance is due one week before your event. Invoices are sent by email through QuickBooks.

Minimum booking

All rooms have a 2-hour minimum, except the Gym (Sports) at 3 hours. Setup and teardown time counts toward your booking.

Certificate of insurance

Renters provide a certificate of liability insurance of at least $1,000,000, naming WCPC and its officers, employees, and volunteers as additional insured. Due 30 days before your event — we can suggest a provider if needed.

What’s included

Use of the room, tables and chairs, climate control, restrooms, custodial service, and complimentary self-parking in designated areas.

Equipment & AV

Sound, lighting, and furnishings are used only with prior approval and may require a staff operator and labor fee. Equipment is moved only under staff supervision. A $150 cleaning fee applies when the kitchen is used.

Alcohol

Beer, wine, and sparkling wine (20% ABV or less) may be served with advance written approval — no hard liquor, kegs, or open bars. A licensed caterer or nonprofit holds the ABC permit, with a $2,000,000 insurance rider, trained security (one per 150 guests), and served drinks only. Smoking is not permitted on church property.

Decorations

Décor must be approved in advance. Nothing may be taped, tacked, or nailed to walls, woodwork, or furnishings. Freestanding candles and open flames are not permitted, and all décor is removed at the end of your event.

Setup & teardown

Build your setup and cleanup into the booking window. An on-site coordinator helps your day run smoothly from start to finish.
